Position Overview

The Regional Programme Coordinator will work closely with the Regional Director (RD) and regional staff in order to ensure regional programmes and initiatives are on track in line with overall, regional strategic priorities and budget. The coordinator will work in collaboration with JASS’ functional teams (Finance and Operations, MEL and Resource Mobilisation and Funding Partnerships, Communications) to ensure the integration of regional needs and priorities, and alignment to institutional practices. The Coordinator will provide specific support to the Regional Director on the day to day management and administrative oversight of programs and finance and operations in line with the JASS strategy and political approach.

Key Responsabilities

Programmatic and Team Coordination 


Coordinates with the Regional Director and Country Coordinators, as well as with SEA Finance Coordinator the implementation and execution of programme tasks.

Supports the Regional Director in managing, developing, and growing JASS’s work in the Southeast Asia region. This includes:

  • Coordinating channels, processes, and methods to ensure smooth and organised communication within the regional team.

  • Ensuring that planned content and activities align with JASS’s strategic framework and the established strategic priorities for that period (and adjusting with agility as needed).

  • Monitoring the planning and execution of approved projects, providing timely information and technical support to the Regional Director and Country Coordinators.

  • Coordinates the approval process of Solidarity Resources (Grants and Mobilization Fund) in the region.

  • Coordinating and overseeing the maintenance of a reference documentation library for the regional team, including the virtual workspace of SEA (i.e. Notion).

  • Participating in JLT (Joint Leadership Team) and other internal meetings when appropriate or necessary.

  • Representing the organisation with donors, allies, and sister organisations at the SEA level, as needed and agreed upon with the Regional Director.


Financial and Operations Coordination


  • Coordinates the Regional Finance and Operations Team, particularly, the correct execution and reporting of activities.

  • Supports the Finance Coordinator in the development of the annual regional planning and budget, and monitors it throughout the year to guide the country coordinators within the strategic framework. 

  • Coordinates the Preparation of Project Budgets including assisting in the preparation of activity budgets and monitoring expenditures against approved budgets aligned to our strategy.


  • Coordinates with the People and Culture Manager to ensure policies and relevant information are accessible to staff members in the region.

  • Supervises the Southeast Asia Finance Coordinator in managing administrative issues and/or budget changes.



Learning and Data Management 


Coordination with the MEL Team and Country Coordinators in order to:

  • Track implementation of activities in the region and ensure programme teams share qualitative and quantitative data related to activities, outputs and outcomes through JASS’ MEL system and tools.

  • Ensure the mapping - with the support of the MEL team - between JASS integrated data collection system and the specific results frameworks of regional grants.

  • Lead the completion and correct consolidation of final reports destined to meet donor requirements and to be circulated with third parties.


Resource Mobilization 


Coordination with the Resource Mobilization and Funding  (RMF) Team and Regional Director:

  • Acts as a liaison with donors in collaboration with the Regional Director and RM team; ensuring all are kept up to date and sharing both opportunities and risks.

  • Coordinates (including writing, design, and translation as agreed) and oversees the preparation of regional narrative  and financial reports for donors.

  • Ensures proper documentation and management of information  related to current and prospective regional donors (meeting notes, contracts, proposals, forms, etc.).

  • Coordinates information, data, and documentation from the region to support funding proposals.

  • Supports the regional team to participate in collective work/priorities and requirements of JASS’ strategic funding partnerships. 

  • If deemed appropriate, participates in meetings with current and prospective donors, especially regional donors.


 Communications  


  • Supports alignments and coherence in managing organizational communication flow.

  • Ensures communication and knowledge priorities are on track based on agreed timelines.


Your Qualifications
  1. Deep understanding of Southeast Asia context and commitment to social justice movements.

  2. At least 3-5 years of experience as a lead in feminist or women’s rights social justice organisations; regional/global experience will be valued.

  3. Experience in strategic thinking, planning, budgeting, and program management.

  4. Experience in team management and creating diverse partnerships.

  5. Experience in fundraising, donor relations, and strategic positioning of movement/civil society value.

  6. Good analytical, writing, and communication skills.

  7. Proficient in English and at least one of these Southeast Asian Languages– Khmer, Bahasa Indonesia, Thai, Filipino, Burmese– both spoken and written.

  8. Proficiency in Microsoft Office (Outlook, Word, Excel, and PowerPoint), Adobe Acrobat, web-based management tools and Social Media web platforms. 


Your abilities
  1. Commitment and knowledge of intersectional feminism and a transformative approach to equality and justice; strong preference for knowledge and/or experience related to Feminist Popular Education.

  2. Facilitative and collaborative approach to feminist leadership, with the ability to inspire, convey enthusiasm, commitment, and confidence in teams as a fellow doer rather than a delegator.

  3. Ability to communicate effectively, flexibly adapt and interact effectively to solve problems in a creative way, building synergies, making a good use of the time and supporting the team in meeting its tasks.

  4. Ability to work at multiple levels and engage with diverse audiences and contexts, including women, indigenous, and rural movements, NGOs, donors, and government officials.

  5. Ability to self-manage in a remote setting, across time zones, with flexibility in working hours as dictated by the needs of a Global organisation.

  6. Ability to travel regionally and internationally as needed.

  7. Attention to detail and accuracy in work products.
